Private Winter Wonderland Celebrations

Event Venue Policies & Terms of Agreement

These policies apply to every Private Winter Wonderland Celebration. After your date is approved, you'll review and sign them electronically before payment.

1. Event Spaces & Exclusive Venue Use

Howe Ranch is a private, family-operated farm and boutique event destination offering immersive, thoughtfully curated seasonal experiences. All visits are by advance reservation only.

Private Winter Wonderland Celebrations include:

  • The Grand Hall: Exclusive use of our festively decorated indoor celebration space, featuring beautifully styled banquet seating and seasonal entertainment areas. Seating configurations, table settings, and individual amenities vary according to group size and the selected experience.
  • Sugar Plum Lounge: Access to this inviting seasonal gathering space during designated portions of the celebration.
  • Animal Stables: Access to designated areas for supervised animal encounters with our miniature Highland cattle and other farm animals.
  • Winter Wonderland Attractions: Access to designated themed environments, interactive activities, scavenger hunt locations, and seasonal photo opportunities included in the selected experience.
  • Guest Restrooms: Access to designated restroom facilities, including accessible restroom accommodations.

Exclusive use applies to the Grand Hall only and does not constitute exclusive use of the entire Howe Ranch property. Other areas may remain accessible to overnight guests, ranch personnel, and other authorized visitors.

Access to individual attractions, animal encounters, and shared spaces remains subject to operational requirements, staffing, weather, animal welfare, and safety considerations.

2. Celebration Duration & Operating Hours

The maximum duration of a Private Winter Wonderland Celebration is determined by the reserved group size:

  • Groups of fewer than 50 guests: Up to 3 hours.
  • Groups of 50 or more guests: Up to 4 hours.

Private celebrations may be scheduled on available weekdays and Saturdays, with all activities concluding no later than 9:00 p.m.

The reserved celebration period includes all guest arrivals, setup of personal decorations or event materials, activities, entertainment, breakdown, cleanup, and removal of personal belongings.

Additional setup, drop off, or breakdown time is not included. Early access and extensions require prior written authorization from Howe Ranch, as well as additional rental fees, pending availability.

All guests, vendors, personal decorations, and belongings must be off the premises by the scheduled conclusion of the event.

3. Guest Count, Reservations & Final Event Preparations

The number of guests confirmed at the time of booking establishes the minimum contracted guest count and cannot be reduced after the reservation is completed.

Guest-count reductions, cancellations by individual attendees, or no-shows do not qualify for refunds, credits, or reductions in contracted charges.

Guest-count increases may be requested only if additional capacity is available and Howe Ranch approves the increase.

  • All requests to increase the guest count must be submitted and approved no later than 14 calendar days before the scheduled celebration.
  • Additional guests are subject to associated charges.
  • All additional guest charges must be paid according to the payment terms provided by Howe Ranch.
  • Unregistered or unapproved additional guests may be denied admission.

The final approved guest count must be confirmed at least 14 calendar days before the event. Once that deadline passes, no further guest-count changes are permitted unless Howe Ranch expressly authorizes an exception in writing.

The 14-day deadline also applies to finalizing seating arrangements, approved decorations, gift tables, beverage arrangements, entertainment requests, and other personalized elements of the celebration.

The contracted duration and applicable event package are determined by the confirmed reservation and any approved changes. An increase to 50 or more guests does not automatically extend the reserved event duration; any applicable change must be expressly approved by Howe Ranch.

4. Children & Adult Supervision

Howe Ranch is an active working farm with live animals, natural terrain, and agricultural facilities.

  • Children must remain under the direct, attentive supervision of a responsible adult at all times throughout the entire visit.
  • The ratio of children to supervising adults must not exceed 2:1, meaning at least one responsible adult aged 18 or older for every two children.
  • Children may not wander independently, enter animal enclosures, explore restricted areas, or participate in activities without appropriate supervision.
  • Howe Ranch employees conduct guided activities and animal encounters but do not provide childcare or assume responsibility for supervising children.
  • The Client is responsible for communicating and enforcing the supervision requirements with every family attending the celebration.
  • Failure to maintain adequate supervision may result in restrictions on activities or early termination of the celebration without refund.
5. Food, Catering & Refreshments

Private Winter Wonderland Celebrations include food and refreshments according to the selected package and any approved additions.

  • Outside food, catering, snacks, desserts, and other prepared food items are not permitted unless specifically authorized in writing by Howe Ranch.
  • Clients are welcome to provide their own nonalcoholic beverages for their guests. Beverage arrangements should be coordinated with Howe Ranch in advance to ensure appropriate service and cleanup.
  • For food safety, sanitation, and operational reasons, food and beverages provided by Howe Ranch through banquet, buffet, or catering services are intended for consumption on-site during the reserved celebration.
  • Food and beverage leftovers may not be removed from the premises, packaged to-go, or distributed after the event, regardless of attendance or remaining quantities.
6. Alcohol & Beverage Service

Alcohol is not included in any standard Private Winter Wonderland Celebration package.

Clients and guests are not permitted to bring, serve, distribute, or consume alcoholic beverages under the standard event agreement.

Any request for alcoholic beverage service must be submitted in advance and is subject to Howe Ranch's written approval.

If authorized, alcoholic beverage service will require:

  • A separate written agreement.
  • An appropriately licensed and approved beverage-service provider.
  • Compliance with applicable Montana alcohol licensing and service requirements.
  • Any additional insurance, documentation, staffing, or fees required by Howe Ranch.

Alcohol service is strictly prohibited unless all separate requirements have been satisfied and written authorization has been issued by Howe Ranch.

Howe Ranch reserves the right to decline any request for alcohol service.

7. Decorations, Personalization & Gift Tables

Howe Ranch provides professionally styled seasonal environments and decorative installations as part of the Winter Wonderland experience.

Clients may request permission to bring small personal decorations, event accents, signs, favors, or other personalized items.

  • All additional decorations must receive advance approval and must be finalized no later than 14 calendar days before the event.
  • Existing decorations, furnishings, backdrops, and displays may not be relocated, altered, or removed without authorization.
  • Nails, staples, damaging adhesives, glitter, confetti, open flames, smoke effects, and pyrotechnics are prohibited.
  • Decorations must not obstruct walkways, exits, guest seating, or access to farm facilities.
  • All personal items and decorations must be installed and removed within the reserved event period. Decorations/packaging/associated trash may not be disposed off or left at the venue.
  • Gift Tables: Upon advance request, Howe Ranch can arrange a designated gift table where Clients may display or distribute gifts, favors, or appreciation items to their guests, subject to available space and event configuration.

The Client is responsible for distributing, collecting, and removing all gifts, packaging, wrapping materials, and other personal items before the celebration concludes.

8. Music & Entertainment
  • Howe Ranch can provide a speaker for Clients wishing to play their own music during their celebration.
  • Music must remain appropriate for a family-friendly farm environment, with sound levels that do not disturb animals, neighboring properties, or other activities.
  • Clients wishing to arrange additional performers, DJs, entertainment equipment, or other special activities must obtain prior written approval.
  • All entertainment, equipment setup, and removal must take place within the reserved event period.
9. Cleanup, Waste Disposal & Property Care

Howe Ranch manages ordinary consumable waste generated through the celebration, including:

  • Food-service waste from refreshments provided by Howe Ranch.
  • Disposable cups, plates, napkins, and utensils supplied by Howe Ranch.

Clients are responsible for removing all additional waste and materials brought onto the property.

  • This includes personal decorations, boxes, gift wrapping, ribbons, bags, packaging materials, promotional supplies, and any other Client-supplied waste or recyclables.
  • Howe Ranch does not provide recycling, disposal, storage, or removal services for such materials.
  • All personal belongings, decorations, supplies, and packaging must be removed before the scheduled conclusion of the celebration.
  • Materials left behind may result in a minimum $150 waste-management fee, with additional charges for extensive cleaning, removal, disposal, or damage.

Clients and their guests must leave all event areas in reasonable condition, excluding ordinary food-service cleanup handled by Howe Ranch.

10. Animal Encounters & Farm Safety

Our animals are cherished members of the Howe Ranch family. Their health, comfort, and safety are our highest priorities.

  • All animal interactions must occur under the supervision and direction of authorized Howe Ranch personnel.
  • Guests may not enter stalls, enclosures, pastures, or restricted animal areas without authorization.
  • Animals may only be fed with approved feed supplied by Howe Ranch staff during designated supervised encounters.
  • Outside animal feed, treats, snacks, and human food must never be offered to livestock.
  • Children must be accompanied and actively supervised by their responsible adults during all encounters.
  • Chasing, frightening, rough handling, lifting, or otherwise disturbing animals is prohibited. Guests who violate this rule will be banned from animal areas, or the property.
  • Guests must follow all hygiene, animal-handling, and safety instructions.
  • Animals may be temporarily unavailable or removed from activities at Howe Ranch's discretion for health, welfare, safety, or operational reasons.

Improper feeding can cause serious injury, illness, choking, or death. Guests must never feed donkeys, goats, cattle, or other animals without explicit staff authorization.

Howe Ranch reserves the right to immediately end any interaction that compromises animal welfare or guest safety.

11. Arrival, Parking & Neighborhood Courtesy

Howe Ranch is situated within a private rural community. All Clients and visitors must comply with our Zero Impact on the Neighborhood Policy.

  • Guests must follow the arrival instructions distributed before the celebration.
  • Vehicles must park exclusively in designated guest parking areas.
  • Parking along private access roads, neighboring properties, residential driveways, or undesignated areas is strictly prohibited.
  • Drivers must observe all posted speed limits and exercise caution near pedestrians, livestock, and surrounding residences.
  • Excessive noise, obstruction of access roads, and disturbance of neighboring properties are prohibited.
  • The Client is responsible for communicating arrival and parking instructions to all guests and approved service providers.

Serious violations may result in removal from the property or termination of the celebration without refund.

12. Guest Conduct, Waivers & Restricted Areas

The Client is responsible for ensuring that all attendees comply with Howe Ranch's guest waivers, arrival instructions, safety notices, and conduct requirements.

  • All guests must remain within designated event and visitor areas.
  • Private residences, staff facilities, workshops, equipment-storage areas, restricted animal enclosures, and other nonpublic portions of the ranch are off-limits.
  • All visitors are expected to treat the property, animals, employees, furnishings, and seasonal installations with care and respect.
  • Outside pets and guest animals are not permitted.

Howe Ranch reserves the right to deny admission or remove any person whose behavior violates these policies, creates safety concerns, endangers animals, damages property, or disrupts the celebration.

13. Damage to Property & Client Responsibility

The Client assumes responsibility for damage to the venue, furniture, equipment, decorative installations, landscaping, or other property resulting from the actions of the Client, invited guests, or contracted vendors, excluding ordinary wear and tear.

Documented costs for repairs, replacement, excessive cleaning, or damage-related services may be charged to the Client.

Any independently contracted vendors or service providers must receive advance approval and comply with all applicable Howe Ranch policies.

14. Cancellation, Reservation Changes & Refunds

All reservations are final and nonrefundable.

Once a Private Winter Wonderland Celebration is booked, the reserved date and time are immediately removed from availability for other guests, and Howe Ranch begins committing staffing, resources, and preparations specifically to that celebration. Because these exclusive reservations cannot reasonably be rebooked on short notice, Howe Ranch is unable to recover the financial losses associated with cancellations or changes.

Accordingly, all payments, retainers, and reservation charges are nonrefundable, including in cases of cancellation, reduced attendance, individual guest cancellations, or failure to attend.

The original guest count cannot be reduced after booking. Increases may be approved only when capacity permits and must be finalized at least 14 calendar days before the event.

To ensure fairness and consistency, these policies are applied equally to all guests, without exceptions. We appreciate your understanding that these commitments allow us to provide the thoughtfully prepared, private experiences that make Howe Ranch celebrations so special.

  • The originally booked guest count may not be decreased at any time after booking.
  • Guest-count increases are permitted only with available capacity, Howe Ranch's written approval, and completion of applicable payment requirements, with requests submitted and approved no later than 14 calendar days before the event.
  • Event date changes are not permitted under the standard reservation terms.
  • Reservation transfers to a different guest host may be considered with advance written approval from Howe Ranch, subject to the original reservation terms.
  • Individual activities or animal encounters may be modified when necessary because of weather, animal welfare, safety, or operational circumstances.
15. Liability, Insurance & Legal Compliance

The Client acknowledges that participation in farm activities involves inherent risks associated with live animals, natural terrain, agricultural environments, seasonal weather, and other conditions encountered on a working farm.

The Client shall indemnify and hold harmless the Owner from damages, claims, or legal actions arising from injury or damages occurring during the event, to the extent permitted by applicable law.

Howe Ranch maintains $1 million in liability insurance and $1 million in personal injury insurance.

The Client is responsible for securing additional event-specific insurance where required, including appropriate insurance coverage for independently contracted vendors or services.

All attendees must comply with applicable laws, safety regulations, property rules, and guest waivers.

16. Acceptance of Event Policies

By completing a reservation, the Client acknowledges and agrees to the terms outlined in these Event Venue Policies.

The Client is responsible for ensuring that all invited guests, supervising adults, and approved service providers are informed of and comply with the applicable policies throughout the celebration.

Howe Ranch reserves the right to enforce these requirements in the interest of guest safety, animal welfare, property protection, and the preservation of our surrounding community.

We look forward to welcoming your group for a truly magical and unforgettable Winter Wonderland celebration!

17. Electronic Agreement & Acceptance

This agreement is provided and executed electronically as part of Howe Ranch's online reservation process.

By providing an electronic signature, the Client acknowledges having read, understood, and agreed to all terms, conditions, and policies outlined herein. The electronic signature constitutes the Client's acceptance of this agreement and carries the same legal effect as a handwritten signature, as permitted by applicable law.
